The series, by the way, is multi-authored but well edited to contain consistent terminology. When the editor asked for the creation of a comprehensive index, my plan has been to insert volume numbers for each of the 8 files (I use Cindex), and then merge the files into a single index. I realize I will then need to create subentries for the merged entries which have long strings of locators I am close to finishing the indvidual volume indexes, and the editor has stated that the comprehensive index should contain additional entries not contained in the individual volume indexes. Each volume has had stringent space limitations, so I have been indexing each volume consistently against the others in regard to exhaustivity and specificity. Consequently, I have gotten into a nice rhythm of not overindexing each volume and thereby creating the right size index not requiring entries to be deleted, i.e. I do not have first draft indexes from which to draw additional entries for the cumulative index. Therefore, the only way I can add entries is to go back through the text. This prospect I find overwhelming! In retrospect I realize I should have discussed the editors' expectations for the comprehensive index in more detail prior to starting the project, but I did not (a good learning experience!!) My question is this: Is it standard practice for a cumulative index to be a cleaned up version of the merged individual indexes, or is it customary for the cumulative index to have additional entries not contained in the individual volume indexes? Any feedback from those of you with experiences with the "animal" of a comprehensive/cumulative index, would be greatly welcomed. I expect to be having a conversation with the editor tomorrow afternoon, so any feedback prior to then would be especially helpful! P.S. I have not forgotten to report back to the list on the responses to an earlier post a couple of weks ago regarding page locator format for continuous vs. non-continuous discussions . . . But there may be layers of other less apparent and less traditional relationships that would potentially be useful to the user. The focus will be on identifying new non-traditional relationships which may be valuable to analysis, and on integrating among the traditional and non-traditional. At my company (Macmillan Publishing), we sometimes prepare "master" indexes for multi-volume sets. In the past, we've simply merged the individual indexes (which is kind of a nightmare), although now we're looking into compiling the master index separately. I think it would be difficult for a master index to have entries not contained in the individual indexes. One of the problems that we ran into is that you lose entries in the merging process. For example, if one volume is about Perl programming and another is about C++ programming, you may have a section in each volume index that reads scripts scripts hit counters hit counters general declarations general declarations procedures procedures timers timers When you merge these (and if you're limited to three levels, like we are), you end up with scripts C++ hit counters timers Perl hit counters timers and you end up losing the sub-entries. I think of a master/cumulative index as being a broader view of the volumes. Say you're driving across the state... you start off with a state map that shows you the interstates and highways (the master index). Then when you get closer to your destination, you pull out the city map that shows you all the alleys and back roads (the individual index). In the C++/Perl example, I think that a reader looking specifically for C++ programming information would consult the individual index first. The master index is more of a marketing tool ("hey, look at all the information in this set") or as a general guide. Then, I started calling people and visiting publishers when I was in their area. Be persistant and do follow-up calls. Publishers that never returned my calls suddenly had tons of work when I showed up in their offices. Editors are always at 2000mph and you have to be there with your hand out. I also found my first mailing to be too dry to solicit a response. The letters I did get a response to were the one's that were more on a personal level, explaining my insane desire to index the book that even the author wouldn't do. Also, if you have any friends that proof or copyedit, look at what their working on, then call the editor and ask for the index of that book. Even if it's a real snoozer. Even if you aren't the least bit interested in the lunar cycles of the celestial warthog. Good luck, we were all discouraged too, and you'll probably get a zillion replies to this. But don't hold it against me - I don't think indexing is something machines will ever do well. Computers and software should be useful tools for human beings, not replacements for them. From what I've gathered from listening to this group, it seems that the indexing software tools you all use could stand some improvement. Anyway, I think I know the secret to the "alt 196" (usually seen in computer manuals as ) mystery. 196 is an extended ascii code for a dash graphics character. It's hard to tell from looking at the ascii chart I have, but it looks longer than the character at 45, which is another dash, the one you get from a standard qwerty keyboard. So my guess is that your software is using 'alt 45' ("-") for the en dash, 'alt 196' for the em dash. Too bad there wasn't an entry in the index. ;-) Hope this helps. If you open up an empty document in your Windows word processor and then turn the NumLock for your keypad ON. You can then hold down the Alt key and then while still holding down the Alt key press 0 1 5 0 on the keypad and when you release the Alt key you will see an endash. If not, change the font to Times New Roman. 0 1 5 1 results in an emdash. Hope this is of some help. Ream" Subject: Re: en dashes Clarification...The previous contain many truths... In DOS there is not actually an en or em dash. ALT-196 is a graphic character in the extended IBM character set. In typesetting there is the hyphen (which is the keyboard "dash" next to the equal sign key), an en dash, and an em dash in increasing length, respectively. The hyphen is normally only used to connect words (hyphenated words like two-pass compiler) or to hyphenate words at the end of the line. (Some people do use this in complex numbers erroneously.) The en dash is used to specify number ranges and chapter=96page. The 196 is what Cindex uses by default for page number connector. This is the em dash=97used to connect "fragments" of sentences. In spite of all this, as someone noted, you have to know what the publisher can accept to give them what they can use. It is not standard to accept a 196 (DOS) character value and import it into a Windows word processor. Of course in Cindex you can map this character on output if you need to under the SET TYPE ALT-H screens. Good luck, Dave
