Sometimes they are less than half of the next best deal I have been able to find and other times, just a little cheaper - but I have never found a lower rate yet. They assured me that if I ever do, they will beat it. They have been very helpful and helped me change my address from the USA to Finland and then back again when I moved last month. They are very knowledgeable about addressing mags worldwide. They have a deal where you can get a free 1 yr. sub to a new magazine from a special list of over 300 popular titles published in the USA. They can arrange delivery to virtually any country and I think they have clients in around 35 or 36 countries now. Outside the USA there is a charge for foreign postage and handling (on both paid and freebie subs) that varies from magazine to magazine. I have found their staff to be very friendly and courteous. They even helped me with an address change when I moved from one country to another. The owner thinks of his service as a "club" and his clients as "members" (even though there is no extra fee to become a member - your first purchase automatically makes you a member) and he is real picky about who he accepts as a new member. When he sets you up as a new member, he himself calls you personally on the phone to explain how he works his deal, or sometimes he has one of his assistants call. He is kind of quirky sometimes - he insists on setting up new members by phone so he can say hi to everyone (I sure wouldn't want to have his phone bills!), but you can place future orders (after your first order) via E-mail. He has some really friendly young ladies working for him, who seem to know just as much as he does about this magazine stuff. If you live overseas, he will even call you there, as long as you are interested, but I think he still makes all his overseas calls on the weekends, I guess cause the long distance rates are cheaper then. He only likes to take new members from referrals from satisfied existing members and he does virtually no advertising. When I got set-up, they had a 2-3 week waiting list for new members to be called back so that they could join up. (Once you are an existing member, they help you immediately when you call. ) I think they are able to get back to prospective new members the same day or within a few days now, as they have increased their staff. One reason I think getting pages on disk is so rare is that most indexers will want to mark them up to assist in the indexing process. Sure it costs more to transport a book on paper, but there are usually several copies of final pages produced anyway, and it sure beats trying to "mark up" an electronic copy in one window while indexing in another. All this applies, of course, to non-embedded indexing. I'm sure people who work with embedding will let you know how their material arrives. I would also like to stress that I never intended to downplay Cindex, which is an excellent product that serves its purpose quite well, and we will continue to use it for our indexing projects. My point, which I keep, was that the product does not perform equally well under Windows, and that shows specially when you stretch it to its limits in terms of file size. This causes us a major inconvenience, because as other colleagues here, we would rather run it in a DOS session, sharing the system with our other applications. Sue, You're right in suspecting that the type of publisher often has to do with the type of files (if any) that you receive for indexing and for the delivered index. My software company clients prefer embedded indexes, though we've experimented with doing stand-alone indexes with their desktop publishing vendors doing the embedding from a page-order sort. (These experiments have been short-lived since the embedding process induced a near nervous breakdown in one desktop publisher. ;-D They now have me doing the embedding.) My other clients, which include traditional, scholarly, and medical presses do not send me files, which are unnecessary for doing stand-alone indexes. Regardless of the type of indexing project, I always insist on hard copy proofs. This includes embedded indexing projects. Even on the rare occasions when I've had files modem'ed to me, the hard copy was always in route via Fedex. Unless, you are an unusual person, most people are unable to retain as much when reading from a screen vs. reading from a printed page. Maybe it has to do with the way the brain is wired. So, this applies whether one marks up the pages or not. Even hard copies aren't always a joy. I've received a bound book (that didn't lie flat when open, so I had to print out the entire book), huuuuuge sheets that had to be cut down to fit the copy stand beside my monitor, etc. ;-D To answer your question about file formats of delivered indexes, I often deliver stand-alone indexes in word processor files (Word for Windows) which some clients are able to convert to desktop publishing files (e.g., PageMaker, Quark, FrameMaker, etc.). Most of my embedded indexing clients receive their indexes in FrameMaker files, though one uses Word for Windows files. The only pure ASCII files I've been asked to deliver contain AAP codes I have to insert, and even this client (a scholarly press) also wants a word-processed file. A new client wants an ASCII AAP-encoded file, but I still don't know if they want a word-processed file since they still haven't sent me all the pages, two months after having sent the first part of the book! (Yes, some projects will become part of your office decor, they'll hang around for so long. ;-D) The absolutely weirdest format I've ever had to deliver indexes in was in a page-order sort, where I had to paste sheets of entries onto the hard-copy pages they belonged to with highlights and margin notes to indicate where the entries were to be embedded. (I did 27 manuals, including an 1100-pager that way! I got to spend a lot of "quality" time with my mother and husband who did most of the cutting and pasting while I cranked out index after index for that project.) Even though no electronic files were involved on my end, I mentioned that to let you know that you can end up with some unusual delivery formats, especially if you include non-traditional publishers (this one manufactures electronic hardware) in your client mix. I always ask, and frequently get, an ASCII file (set of files, really) of the text as well. They usually have this kicking around the office because the books have been prepared on word processors. I take this file and reformat it to force page breaks in the approximate places they are in the hard copy. I then use this as a backup to the hard copy, especially for those annoying "oh bother I should have indexed term X all along, where did I see it mentioned before" searches. Because the page breaks are usually only approximate, I often have to double-check against the hard copy, but it's worth it to save riffling back and forth through hundreds of pages of proof searching for a single reference. It's also very handy for proper names. I do _not_ use the text file to do embedded indexing. Once I had a massive job indexing part of the works of Jonathan Edwards, the 18th century theologian. His sermons (which are far more interesting than you might expect) contain many hundreds of biblical references, which were supposed to go in a Biblical Citation Index. In this case I got the publisher to cough up the actual file used by the typesetters, which was the only electronic document with the final page breaks in it. This would never have worked if my husband wasn't a computer programmer with lots of experience interpreting unlabelled magnetic tapes, because that's what they sent us. My husband then wrote a program to strip out all kinds of useless control codes and prepare a Bible Index, which I then had to double-check against the hard copy. It was only worth it because Edwards put in dozens of Bible citations per page, so the time spent programming, cussing, and double-checking more than made up for the time it would have taken to do it the normal way. And they paid _lots_ extra. I always send both hard-copy and a diskette with ASCII and MS Word files back to the publisher, and usually a hard copy to the author as well. They don't want faxes (paper's too slimy) and the publisher I do most work for has only just got in-house email, with no target date in sight for connection to the rest of the world. So I know _exactly_ how many minutes it takes to get from my house to the FedEx office that closes at 4:30 on Friday . . . I have spent quite a bit of time explaining that I really need a printout with nearly-though-subject-to-adjustment final pagination in order to do the index. Then comes the, "You mean you have to READ the whole thing to index it??" comment, which leads to a tactful explanation of what an indexer does to earn her fee. At which point the need for a printout becomes clear. And when it's time to dispose of all those printouts (as I do about every three months), my environmental conscience is much relieved by curbside recycling! I will not touch embedded indexes (have neither the time nor the patience at this time) so will cheerfully refer to others any such request that come my way. As I usually do, I mixed several things in the same thread. While that was going on I mentioned about how "overclassified" the subject index was. So a few people responded to the "indexing references" part, and a few responded to "overclassification". Oh did I mention this also had an organization index? Anyway here's what happened. (Thanks for the responses BTW) I talked to the editor and explained that due to my own machinations I was way behind, that changes were widespread and it was taking a lot longer than planned because the index structure was weak. He was actually somewhat apologetic about the fact that he had told me changes were minimal, and seemed to take comfort that the index would be improved. It turns out that last Friday would have been Ok but Monday (today) would still work too, but just barely. Since this was last Wednesday, I figured I had plenty of time. In addition to all these problems I basically came to the conclusion that my normal routine on these revisions, which is to compare a page-order sorted hard copy of the index to both the old text and new page proofs, was a total waste of time since I had to recheck much of it at the keyboard there were so many weird changes; TRANSLATION: double the work! But the extra time allowed me to relax a little and catch up on my sleep. The worst part of all was that due to a total flat out September and right through now (with no end in sight fortunately but unfortunately), I was bordering on exhaustion. When this happens my rate slows to a crawl; I second guess everything; a bad scene all-in-all. I've encountered these overclassified indexes before. The makings of a not-too-bad index is often within an overclassified index, it just needs to be "chipped away". Thus a section like this: Nonprofit marketing methods 101-104 direct mail, 101-102 telemarketing, 102-103 corporate involvement, see Private sector involvement (And there were *no* main headings for "direct mail" and telemarketing!) Becomes: Direct mail . . Nonprofit marketing methods, 101-104 corporate involvement, see ... . . Telemarketing, 102-103 This uses the *exact* same number of terms so the index size is conserved. In "edit" mode in (my version) Cindex you can't add terms, so the old terms become templates for the new main headings. Lynn would like this: the terms were "there" in the overclassified index, just "confounded" by being subs or sub-subs, that is until they were chipped away. Thus often an overclassified index can be improved greatly with surprisingly little effort. In this way I got rid of about 85% of the sub-sub levels. Many were actually exactly like this: Nonprofit marketing defined, 14 defining goals, mission, and objectives, 102-105 goals, 102-103 mission, 103 objectives, 103-105 volunteers, see Volunteers While in the first case, a case could be made for having "direct mail" as a sub-sub of Nonprofit marketing *as long* as it was double posted as a main too, in this case the extra level is ridiculous, and yes some of you may have already guessed it, that just happened to be the title of the chapter subsection in which the sub-sub-sections on goals, mission, and objectives were located. Yes this is a textbook case of the old index-to-the-table-of-contents trick. (Sure it ought to be in there in some form but that's only a starting point, not the end-all as it is here.) In addition I eliminated many other subs on general principles: 2 page sections with 6 subheads, reducing them to more like 1-3, and splitting out any "terms" as mains. Then after I had updated the existing chapter terms I went back through each chapter for a quick indexing pass looking for obvious terms, things in italics, etc. The total size of the index is about 50% greater than the last one, which I warned the editor about. Finally I decided to keep with the indexing of the references in the back of the chapter, mainly because the author would probably be expecting it. Politics is probably a big part of the reason for including the names. To gain additional time over this last weekend, I got directions to the printing plant outside of Philly. I got there today about 3:45 pm with the subject and organization indexes complete, and a promise to return tomorrow with the finished name index. So we talk for a while, then as I'm leaving I say (quite sincerely as I feel I've probably made a poor impression on this guy on my first project) that I'll give them a good price break on the next project should they give me another chance to prove I can meet deadlines on a routine basis. So then he starts saying "no problem" and "have we got a hot one coming up soon, call me in a few days". So here I am, going up there feeling like "well they'll never work with me again", and coming back knowing *another* stack of paper will soon appear: a long awaited 3-day caving trip this weekend and more work to do. But just think of how much closer I can get to catching up with what I owe Uncle Sam..... If there are just the occasional mispellings in the text I'll normally convey these to the editor in some way. When they get numerous I generally draw the line and record only the worst. I figure (hope) that a copyeditor is right now going over the text one last time, so unless the mistakes are bad I plow ahead. But here's one I caught that raises an interesting question of "value". In my cover letter for the finished index, I wrote something like, "..there were the usual number of spelling errors in the text, in fact quite a few. But one in particular I strongly suggest you correct. It's on page ...." It turns out that a single letter in a certain word, one of four (letters) in the word to be exact, was replaced with an imposter. This imposter letter had the dubious honor of bestowing on this certain word, which as I said before was of the four-letter variety, an unseemly character unbecoming it's original intent. To make this way-too-long story short, one of George Carlin's 7 words you can't say on TV was right there in plain sight. And seconding Ed Nelson's comments about librarians judging the quality of a book by its index, I judge *any* new possible purchase first and foremost by the index. I used this technique to good measure when I purchased Woody Leonhard's "Underground Guide to Word for Windows", and "Word 6 Companion" from Microsoft Press at Borders out of a possible 2 billion books on Word. It turns out as I read from another source later, these just happen to be *the 2 absolute must-have books for WinWord*. Not bad eh.... But here's another example of the value of an indexer. After trying to figure out the meaning of a passage in a programming manual, I called my client and spoke with the writer. Apparently, he didn't quite understand what he had written, so he brought the programming software up on his screen. The software didn't behave as expected (which probably had lead to the confusing passage in the first place), so he put me on hold while he consulted with the programmers. It turned out that the software had a bug in it, unnoticed until I had questioned the documentation. So one never knows how valuable our analysis of the texts we index can be. I would agree that it seems like an effective tactic *if* the sales pitch is genuine and sent out in a straight-forward manner. However, most of the perpetrators of these annoying messages are cunning and devious. There are a number of mail servers which allow users to lie about their "home address." The last SPAM I got all hot and bothered about was the "Olga SPAM," where someone was trying to sell a modern-day version of mail-order brides. As far as I now know, this probably was a genuine sales pitch. However, you had to reply by regular mail, not email. The perpetrator had been very devious and made it *look as though* he was using the network of the physics department at BYU to send his mail. The poor network administrator there (a/k/a postmaster) was helpless, but he had to spend an inordinate amount of time and effort dealing with all of the complaints. In that particular case, there was a strong effort to prosecute the perpetrator, but I do not know how successful it has been. We were visited by Olga last spring but I was able to deflect those messages also. I know that many of you prefer the free-flow of an unmoderated list and I do too. As soon as it looks like Samantha is tired of this game, I will reset the autopilot...shouldn't be too long. As I recall, Olga was only around for a couple of weeks. A lot of networking gets done at ASI annual meetings each year, where I meet people from all over, and at other meetings. My market research is through Literary Market Place, with follow-up by letter and phone. Email and other computer lists/forums keep me in touch with folks all over, and magazines of all kinds keep me informed. The upshot is that my clients are all over the U.S., and my location is irrelevant to me -- and to them. Federal Express or UPS carries the page proof to wherever you are. Don't let your location stop you! It doesn't matter where you live if you're a good indexer. I think that Caroline's question is excellent, and it's a question that many people have. My experience is that geographical location has nothing to do with building an indexing business. Sure, you'll hear that you have to live near publishing centers to get work. Well, you don't. I started my indexing business in St. Paul, Minnesota. The Minneapolis/St. Paul area *does* have some publishers, and I *did* work for several of them. But I found that my clients came from all over the country. Almost five years ago, I moved to Tallahassee, Florida. The few presses that are here are quite small. I've done some work for a few publishers in town, but again, most of my clients are elsewhere--in New York, California, Massachusetts, North Carolina, you name it. If you live where there's next-day delivery, and if you have electricity, you can definitely run an indexing business! I'd suggest reading *How You Can Make $20,00 a Year Writing, No Matter Where You Live*, by Nancy Edmonds Hanson. The book is published by Writer's Digest Books in Cincinnati, and it was published in 1983. There may well be a newer edition. Ms. Hanson lives in North Dakota, so she definitely knows what she's talking about.
